How it works
-
Describe the job
Add your customer, then each item with its quantity, price and tax rate. Totals, tax per rate and any discount are worked out as you type.
-
Set the terms
Choose how long the quote is valid (30 days by default), ask for a deposit if you need one, and keep the approval box so the customer can sign it.
-
Send it, then invoice it
Save the quote as a PDF and send it. When the customer says yes, press “Turn into an invoice”: the items and the customer move to a new invoice on this device.
Frequently asked questions
What’s the difference between a quote, an estimate and an invoice?
A quote (or quotation) is a firm offer: the price you commit to if the customer accepts within the validity period. An estimate is often looser, a best guess that may change once the work starts. Both come before the work; the invoice comes after and asks for payment. This tool makes either one: write “Estimate” in the notes if you want to make clear that the price may move.
How long should a quote be valid?
Thirty days is common and is the default here, but you can choose 15, 60 or 90 days or a precise date. Pick a shorter period when your own costs change quickly. After that date, you’re free to update your prices.
Can the customer sign the quote?
Yes. Keep “Add a box for the customer’s approval” ticked: the PDF gets a space for the date, the signature and the words “Approved”. The customer can sign it on paper, or with any PDF app that adds a signature. The tool itself doesn’t collect electronic signatures.
How do I ask for a deposit?
In “Tax, discount and deposit”, enter a deposit as a percentage of the total or as a fixed amount. It appears under the total as the amount to pay on acceptance. When you turn the quote into an invoice, the deposit is carried over as “Deposit already paid”, so check it matches what you actually received.
How do I turn an accepted quote into an invoice?
Press “Turn into an invoice”. The invoice generator opens with the same customer, items, discount and notes, a new invoice number, today’s date and a reference to the quote. Everything is passed within this browser, nothing goes through our servers.
Are my quotes stored online?
No. Your details and the current draft are saved in this browser only, so you can come back to them later on the same device. Use “Export (.json)” to keep a copy of a quote or to reopen it elsewhere, and “Clear my data” to delete everything from this browser.
